Why property managers use InspectPro for rental inspections

Rental property inspections in New Zealand are a regular part of property management. Under the Residential Tenancies Act, landlords can inspect a property up to four times per year (with 48 hours' notice), plus entry and exit inspections. For property managers with portfolios of 50, 100, or 500+ properties, that's a lot of inspections — and a lot of reports.

The quality of your condition reports matters. A thorough entry condition report protects the landlord when it's time to assess bond deductions. A well-documented routine inspection identifies maintenance issues before they become expensive problems. And a detailed exit report provides the evidence needed if there's a dispute about property damage.

InspectPro turns every rental inspection into a professional, photo-rich report — created entirely on-site. No more scribbling notes on paper forms, no more spending evenings at the office typing up reports. Walk through the property, photograph each room, add condition notes, and send the report before you drive to the next property.

For property managers handling multiple inspections per day, the time saving is transformative. What used to take 30 minutes of office time per report now takes zero. The report is done when the inspection is done.

InspectPro works for every type of rental inspection — ingoing condition reports, routine inspections, exit inspections, maintenance inspections, and Healthy Homes assessments. Create report templates for each type and reuse them across your entire portfolio.

Room-by-room condition documentation

Organise your inspection by room — living areas, bedrooms, kitchen, bathroom, laundry, exterior, and any additional spaces. Each room section holds all the photos and condition notes for that area, creating a clear record that's easy for landlords and tenants to review.

Photo-rich evidence for every finding

Document the condition of walls, floors, ceilings, fixtures, and fittings with photos in every room. Annotate photos to highlight specific items — existing damage, wear and tear, maintenance issues. A photo-rich report is your best protection against bond disputes and maintenance disagreements.

How rental inspections work with InspectPro

Step 1: Start the inspection. Select or create a template for the inspection type — ingoing, routine, or exit. Enter the property address and any relevant details. InspectPro sets up sections for each room and area — living areas, bedrooms, kitchen, bathroom, laundry, exterior, garage, and any additional spaces.

Step 2: Walk through and document. Move through the property room by room. In each room, photograph walls, floors, ceilings, fixtures, and fittings. Note the condition of each element — "Good condition", "Minor scuff marks on wall", "Carpet stain near doorway — pre-existing". Use preset comments to speed up common observations or add your own detailed notes.

Step 3: Complete and send. Review the report, add any overall comments or maintenance recommendations, and generate the PDF. Send the report to the landlord, tenant, or your office records. For ingoing reports, the tenant and landlord both receive a copy documenting the property's condition at the start of the tenancy.

For routine inspections, you can also flag maintenance items that need attention — a dripping tap, a broken window latch, mould in the bathroom. These items are clearly documented in the report for follow-up action.
