Defect documentation is the backbone of new build quality assurance. Whether you are conducting a practical completion inspection before handover, working through a defect liability period, or preparing a warranty claim, the quality of your defect report determines whether items get fixed. A vague description like "paint issue in bedroom" gives a builder room to argue about scope. A numbered defect with a precise location, severity rating, documented photo, and clear remediation requirement leaves no ambiguity about what needs to be addressed.

The defect process typically involves multiple rounds of inspection and remediation. At PCI, you might identify sixty or seventy defects across a new build. The builder addresses some, disputes others, and misses a few. You return for a re-inspection, confirm which items are resolved, update the status of disputed items, and add any new defects discovered. This back-and-forth can continue for weeks or months, particularly during the defect liability period. Photo evidence is where defect reports either prove their value or fall short. A builder who is told there is a "crack in the garage floor" may fill a hairline crack and move on. A commented and tagged photo showing a 3mm crack running 1.2 metres diagonally across the slab, with a ruler for scale, clearly communicates the actual severity and makes it clear that a cosmetic fill is not an adequate repair. Multiplying this by fifty or sixty defects per inspection, and the effort of capturing, commenting, resizing, and placing photos in a Word document becomes a significant time burden.
